DSA NOLA FACILITIES GUIDELINES

The following guidelines are intended to clarify room usage by committees and working groups and to inform rank-and-file members who want to reserve space.

Room Reservation Policy

• The membership rents office and meeting space commiserate to our resources and size. These are limited resources that need to be coordinated both within our organization and those with whom we share space.
• The coordination of limited resources is improved by advanced knowledge of conflicts; meetings should be scheduled as far in advance as possible to ensure space can be provided—preferably a week for ad-hoc meetings and a month for a regular meeting.
• In addition to general meetings and strategy meetings, the Local Council anticipates providing space in the office or in another meeting room for all committee’s regular monthly meeting, with additional monthly meetings likely having space, and ad hoc meetings potentially having space.
• In case of conflict or unforeseen issue, each committee should plan for their own back-up space offsite:

• Stewards should assume meetings moved from their regular monthly slots will likely have to be held at the committee’s back-up space.

• In case of conflict:

• Spaces are assigned on a first come/first served basis. Thus, standing, regular meetings have preference over ad-hoc or rescheduled meetings.
• After that, committees have preference for space over caucuses, which have preference over working groups, which have preference over ad-hoc gatherings.

• Process for Reserving a Room:

• Committees will have rooms for their regular meetings scheduled automatically.
• For other meetings or to reschedule, please refer to both the chapter calendar and our office shared space calendar embedded below to pick a date that is not taken by an existing meeting.
