List cutting cheatsheet
Welcome to the DSA list work facility. Here are some things to keep in mind when delegating list work so we can responsibly & minimally handle personally identifiable member information:
- Make a script for your pals. Shy people really appreciate this! A certain type of man needs this but doesn’t know it!
- Select only columns that your pals need to complete the task on the list.
- Make a new empty spreadsheet from your domain account.
- Select only the rows you need to send to each pal.
- Paste your pal’s list into the empty spreadsheet.
- Consider adding columns pertinent to the pal’s task ahead of time, and encourage your pals to add columns especially if common themes emerge in the responses they receive.
For example, if you were planning to feed a lot of people, & going through a list of people who had offered to cook, a column for, say, dietary restrictions met, or how many servings of food they want to volunteer to bring would be a good start. If your script has multiple questions like if the respondent needs a ride, the answer to each should be a column. - At a minimum, add a notes column that you will review afterward (eg so people can ask to be taken off our list). Otherwise you will be receiving messages about people’s responses over another channel & then you’ll have to match them back to the respondents your damn self.
- Share the list with the pal & only the pal through the built-in sharing feature:
- Include your script in the sharing invitation, or in the sheet itself if it’s short enough. Otherwise, share the script doc the same way (but you can probably share the same copy of the script doc with your entire list of pals).
- Do not share as an attachment.
- Do not share as inline content in an email.
- Do not share through the link-sharing feature.
- Do not share as a file transfer, image or attachment through a messaging application.
- Allow your pal to edit the list so they can put in notes &c.
- Once your pal finishes their piece of the list work & the information you need from the responses is recorded to whatever upstream system, delete the file you shared with them (File….
Move to trash).
